The Role of Property Managers in Handling Lease Renewals in Dubai

Role of Property Managers in Dubai

Most Dubai tenancy contracts run for a year, so a landlord with two or three units faces a renewal decision every few months. Each one involves a legal notice window, a rent calculation tied to the official index, fresh paperwork, and, quite often, a tenant who wants to discuss the price. For owners living abroad or working full-time, this is where property management Dubai services earn their fee.

The 90-Day Window Comes First

Under Dubai’s tenancy law, landlords must notify tenants of any change to the contract terms, including a rent increase, at least 90 days before the lease expires. Miss that date and the landlord generally cannot change the rent for that cycle.

Property managers track expiry dates for every unit and send written notice early, so they have a record if anyone questions it later.

Checking the Numbers Against the Rental Index

Renewal rent cannot be set by gut feeling. Decree No. 43 of 2013 links any increase to how far the current rent sits below the average in the Dubai Land Department’s rental index. If the gap is 10% or less, no increase is allowed. Beyond that, the cap rises in steps to a maximum of 20%. The Smart Rental Index, introduced in January 2025, now assesses rents at building level, taking the building’s rating and unit features into account.

A property manager runs that calculation before proposing anything. Many owners find their “market rate” from a listings portal does not match the official figure, and it is better to learn that before the tenant does.

Negotiation and Tenant Retention

This is where an experienced real estate agency UAE adds value beyond compliance. An apartment in Dubai Marina or JVC can sit empty for weeks, and one month of lost rent often wipes out the gain from a 5% increase.

Property managers weigh the tenant’s payment history, the cost of re-letting, and current demand in that community. Then they advise the owner whether to apply the full permitted increase, offer fewer cheques, or hold the rent in return for a longer commitment.

Ejari, Deposits and Paperwork

Once the parties agree on terms, the renewed contract must be registered with Ejari. The property manager prepares the updated contract, collects cheques or sets up transfers, and confirms how the security deposit carries over.

If the owner plans to take the unit back for personal use or sale, the law requires 12 months’ notice served through a notary public or by registered mail, and a manager makes sure it is served correctly.

When Renewals Turn Into Disputes

If a tenant refuses a lawful increase, or a landlord’s notice was flawed, the matter can go to the Rental Disputes Centre. Property managers keep the notices, index results and correspondence that usually settle things long before a hearing.

Lease renewal is a series of dated, documented steps, not one yearly decision. Handing them to a licensed property manager keeps income steady, good tenants in place and the owner on the right side of RERA.
